KUFIS (Koç University Faculty Information System)

KUFIS is a Fiori-based portal which is integrated to Koç University’s SAP-HR database. Faculty members, Deans, Vice Presidents and approved administrative staff are authorized to access KUFIS and manage most of the academic processes online. The short descriptions of all the applications available on KUFIS are given below. KUFIS provides the following benefits to Koç University community:

 

  • The applications within KUFIS, such as the Annual Report, Contract Renewal, Promotion, Annual Faculty Evaluation, Course Evaluation Results, etc., are all related to each other. This enables each application to use the outputs of the other applications as its input and reduces the need for external data downloads/ uploads.
  • KUFIS minimizes electronic file and data transfers via e-mails or printouts and increases Koç University’s data security.
  • KUFIS is integrated to Koç University’s SAP-HR system and this integration enables better visibility of academic staff data. This helps keep the data up-to-date and correct, which is especially important because the university must do a lot of reporting for governmental institutions such as the Higher Education Council of Türkiye (YÖK).
  • KUFIS reduces Koç University’s carbon footprint and adds to university’s sustainability efforts.
 

KUFIS Applications for All Users

Annual Report

All faculty members (Full-time faculty members and full-time instructors & lecturers) fill out the annual report at the end of each academic year. The report serves as the basis for the faculty evaluation process. Some data, such as information about the courses delivered by the faculty members, are automatically retrieved from Koç University Student Information System (KUSIS).

Faculty members can use these two pages to access, review, and update their personal data stored on SAP-HR. This helps in keeping vital data up-to-date

Course Evaluation Results

This is where faculty members can reach the results of students’ evaluations of their courses. There is a detailed online report including benchmarks with respect to the faculty member’s faculty and with respect to the University. PDF reports are also available. Deans and Vice Presidents can access detailed reports for all faculty members in the respective faculty. Excel reports are available for further analysis.

Annual Activity Report

It contains academic activity details, such as research activities and courses taught, filled out by faculty members during the annual report phase. It is used in accreditation applications and similar processes where faculty data are needed.

Promotion

Faculty members in promotion process can upload their CV, research statement, teaching statement, cumulative annual report and any additional files here. Cumulative annual report can be built automatically by the system based on the selection: 3-years or 5-years. Faculty members can also upload the list of external reviewers they suggest to the Dean.

Contract Renewal

Faculty members in contract renewal process can upload their CV, research statement, teaching statement, cumulative annual report and any additional files here. Cumulative annual report can be built automatically by the system based on the selection: 3-years or 5-years.

Contract Renewal Reviewer

Faculty members selected by the Dean to write a review report on the contract renewal process may access this application. They are able to see the uploaded documents of the faculty member in the process and upload their report which can be downloaded by the Dean.

‘Manager’ Applications for Deans and Vice Presidents

Annual Report – Manager

The Dean can download the annual reports and CVs of all faculty members in the respective faculty.

KUFIS – Manager

The Dean and approved & authorized administrative staff can download a report on the faculty members in the respective faculty. Report contains data such as past education, Koç University appointment date, title, department, any awards, promotion dates, etc.

Faculty Evaluation

Deans and the Vice Presidents can access faculty members’ annual reports and CVs, upload their own reports and enter annual performance evaluation scores.

 

Contract Renewal – Manager

Deans and Vice Presidents access all documents uploaded by the faculty member and by the reviewers. They can upload their own reports and enter the decision which is accessible by HR.

Promotion – Manager

Deans and Vice Presidents access all documents uploaded by the faculty member. They can upload their own reports and enter the decision which is accessible by HR. The list of internal reviewers is also managed online. Internal reviewer responses can be tracked online, which helps managing the large number of reviewer responses.

Consolidated Annual Report

This report contains selected academic statistics (enrollment numbers, grading, GPA/SPA distributions, class section sizes, course evaluation scores, etc.) regarding the University’s previous academic year.

Annual Research Activity Report

It contains the research activity details (published articles, conference proceedings, etc.) of all faculty members which were filled out by the faculty members during the annual report phase. It is used in accreditation applications and similar processes where faculty data are needed.
